A private airport transfer works best when the details are settled before you land. This guide covers what to share, how arrivals work at Sydney Airport, and how to agree a meeting point that holds up on the day.
What to share when you enquire
Provide the flight number, passenger count, luggage notes and the full destination address. Add anything that changes pickup, such as mobility needs, a child seat or a hotel name that differs from the street address.
If someone else is travelling, include the passenger name as it appears on the booking and a mobile number that will work after landing. Coordinators should say who receives updates on the day.
Arrivals and meeting points
Domestic arrivals are usually quicker from gate to kerb, though peak periods still stretch baggage wait times. International arrivals add immigration, customs and often a longer walk to the meeting area. Plan around the terminal you are using, not a generic airport pin.
Agree where the chauffeur will wait and how you will recognise each other. Name boards, terminal signs or a specific pickup bay all work when both sides know the plan. Share a working phone number in case baggage claim runs long or you exit from a different door.

A flight number lets pickup timing follow the actual arrival rather than a fixed clock time. Early landings and delays both shift when you reach the meeting point. If your flight is rebooked or you miss a connection, contact the provider as soon as you can.
Describe bags accurately: soft cabin bags, hard cases, golf clubs and prams all change what fits. Ask how delays and waiting are handled, and confirm what the fare includes before you accept a quote.
