Guest transfers work best when the briefing is complete before the vehicle is confirmed. This guide helps hotel teams and coordinators share the details that protect the guest experience.

A clear guest briefing

Confirm the guest name, flight or pickup time, destination, passenger count and luggage. Note any special requirements early, including child seats or accessibility needs.

Say who the chauffeur should contact on the day, and whether the guest or the hotel should receive updates. Clear ownership prevents missed messages at the terminal or lobby.

Arrival communication and meeting points

Agree the meeting point and how the guest will recognise the chauffeur. For airport arrivals, flight details allow pickup timing to adjust when schedules change.

For hotel departures, confirm lobby or porte-cochère timing and any access constraints. A short written plan keeps the front desk and the chauffeur aligned.

Delayed flights and changes

When flight details are provided, pickup timing can be monitored and adjusted where possible. Additional waiting should follow the terms confirmed in the quote.

If the guest's plans change, send the update as soon as you know it. Specific revisions are easier to handle than a late notice that plans have simply changed.
