Planning Wedding and Event Transport
Event transport works best when it is planned as part of the schedule. Guest numbers, venues, timing and vehicle capacity should be confirmed before the day begins.
Guest groups and venues
List each passenger group and the venues they move between. Bridal parties, family groups and guest shuttles often need different timing even on the same date.
Include access notes for each venue: driveway constraints, loading zones or preferred entrances. These details shape realistic pickup windows.
Timing and capacity
Work backwards from ceremony, reception or event start times. Build in buffer for photos, speeches and traffic so guests arrive composed rather than rushed.
Match vehicle capacity to each leg of the day. Passenger count and luggage or dress items should be confirmed so the right configuration is assigned.
A simple schedule to share
A short schedule with addresses, passenger groups and timing windows is enough for most events. A full run sheet is useful when movements are complex, but it is optional.
Share updates as soon as the plan changes. Clear communication keeps transport in step with the event rather than reacting after the fact.
